Bartec Auto ID provides software tools and services for professional mechanics, garages, and service centres, including:
(Collectively referred to as “Our Services” or “Our Software Tools”). We are committed to handling your data transparently and securely. This policy explains how we collect, use, and share information when you use any of our Services.
Our Services are intended primarily for business use by garages, distributors, and service centres. Data generated through the use of our tools and software is typically operational and linked to a business account or tool rather than an individual. Personal data rules apply only when information directly identifies a natural person, such as a named mechanic or account holder.
This global privacy policy applies to all users worldwide, regardless of location.
Garages act as Data Controllers for any personal data they input about their customers (vehicle owners). They determine what data to collect, why, and how it is processed in our system.
Example: Entering a customer’s registration number into the software to manage repairs.
When you use our services as an employee of a business customer (such as a garage chain), your employer is the Data Controller for any customer or vehicle data you process using our tools. Bartec acts as a Data Processor for that data under the terms of our contract with your employer.
However, Bartec is the Data Controller for the personal data you provide directly to us (such as your account details, login credentials, and preferences), and this Privacy Policy applies to that processing.
Bartec acts as a Data Processor for customer data entered by mechanics (such as license plates or service records). Our processing is limited to storing, transmitting, displaying, and analysing this data according to the mechanic’s use of the software. Our processing activities are strictly governed by a written Data Processing Agreement (DPA) with the garage. Mechanics are responsible for providing their own privacy notice to their customers and ensuring they have a lawful basis to collect and process that personal data.
For personal data provided directly to us by mechanics (such as account registration, login credentials, and contact information), Bartec acts as a Data Controller.
The data collected may vary depending on the application or service you use. Some Bartec applications operate without user accounts or behavioural analytics and may only process limited technical or diagnostic data necessary to ensure the reliability, security, and performance of the software.
Purpose: Account management, warranty registration, billing, technical support
Purpose: Managing repairs and service history
Service Data means data generated by Bartec’s tools and software during normal operation, including but not limited to tread depth measurements, TPMS sensor reads, inspection results, diagnostic codes, and workflow outputs.
We collect technical and usage data to ensure the reliable operation of our services and to improve user experience.
Device and System Information: Device model, operating system version, and software version.
Error and Diagnostic Logs: Software errors, crash reports, and diagnostic information.
Feature Interaction Data: Vehicle selections made in the app (e.g., vehicle make, model, year, variant) when browsing articles, using lookup features, or interacting with content or workflows. This is collected to optimise search results, display relevant information, and improve app usability. These interactions may also be used for analytics unless you opt out.
Feature Usage and Analytics: Optional collection of usage data such as feature engagement, banner clicks, notification clicks, and article views. This information helps us understand which parts of the service are most useful. It is only collected if you enable analytics, and you may opt out at any time in the Privacy Settings.
Aggregated Anonymous Data: Even if you opt out of personalised tracking, we may collect anonymous, aggregated data to improve software reliability, performance, and usability.
Server & Network Logs (IP Addresses): Temporarily logged for system security, updates, and diagnostics; deleted after 30 days; never used for analytics, marketing, or profiling.
Operational / Update Events: Installs, update checks, and other telemetry required for operational integrity and cybersecurity compliance.
Essential Operational Analytics:
Some diagnostic and technical analytics are required for the operation, security, and reliability of our software. These include error logs, crash reports, and operational telemetry. They are processed under our legitimate interests and are not disabled by opting out of personalised analytics. To minimize privacy impact, these logs are collected using random, non-persistent device identifiers (such as an Advertising ID or other equivalent OS-generated ID) that are not linked to your personal account name or email. Opting out affects only analytics used to tailor content or measure feature engagement; essential operational data will continue to be collected in this anonymised or non-personalised form.
| Purpose | Information Used | Lawful Basis (GDPR) | Rationale / Clarification |
|---|---|---|---|
| Account management & support | Account registration details | Performance of a contract | Processing is necessary to manage the user's account and fulfil the terms of the service agreement. |
| End-customer record management | VINs, licence plates (via mechanics), service data | Contract with the Controller (DPA) | Bartec acts as a Processor for this data. Our lawful basis for processing is the legally mandated Data Processing Agreement (DPA) signed with the Garage (the Controller). |
| Service Data Processing (Core Functionality) | Service data | Performance of a contract | Processing is necessary to deliver the core technical functionality of the software tools and services purchased by the garage. |
| Service Data Analytics (Aggregated / Non-Personalised) | Aggregated or anonymised service data | N/A (Not Personal Data) | This data is truly anonymised and/or aggregated to a standard that prevents the identification of any natural person. Therefore, it is considered outside the scope of applicable data protection laws (such as the GDPR and CCPA/CPRA). |
| Personalised Content, Recommendations & Promotions | Usage data, user IDs, and - only if opted in - service data associated with a specific account | Consent | Processing requires explicit consent, which the user can withdraw at any time via Privacy Settings. |
| Software stability & bug fixes | Device info, error logs | Legitimate interests | Necessary for the safety and reliability of the service, which benefits both Bartec and the user. The data is anonymised or minimised where possible. |
| System monitoring & security | Temporary IP logs, connection data | Legitimate interests | Necessary to protect the integrity, availability, and security of the processing systems (network protection). |
| Service Notifications (Emails) | Email address | Performance of a contract / legal obligation | Sending essential service updates, account notices, or legally required information. |
| Marketing & Promotional Emails | Email address | Legitimate interests | Used for B2B direct marketing of relevant products/services. Includes a clear and easy Right to Object (Opt-Out) in every communication. |
